At Hotel Imperial Cullera we care about your privacy. We only collect personal data if we have a good reason to do so and as part of our service to our guests or GrupoPlus Members.

Who are we?

The legal entity behind Hotel Imperial Cullera is Hotel Imperial Cullera SL which has its registered office at Calle Repla de Sant Antoni, 2-4, 46400, Cullera, Valencia. For ease of reference we will refer to ourselves as “the hotel” in this privacy policy.

Which personal data do we collect and why?

If you just visit our website we do not collect any personal data. Basically, we will only collect personal data in the following instances:

  1. If you make a booking at our hotel from either an online travel agent (Booking.com, Expedia etc), through our website our through Whatsapp.
  2. If you subscribe to our newsletter.
  3. If you sign up for the GrupoPlus Program for Travel Agents.

That’s it. Below you can also find what type of personal data we collect, what we use it for and how long we will keep it, so there will be no surprises.

Data Collected on Hotel Guests

Your first and last name & Your address 

We collect your first and last name as well as your address (only for guests who book through Booking.com). This is necessary for us to complete the reservation for you, and as part of our check-in process we ask for an identity document to verify the guest who is seeking to check-in. Without your first and last name, and address we cannot make and verify reservations. If you no longer want us to keep this information, you can always let us know.

Please do note that for as long as we have an ongoing contract (a hotel stay that has not been completed) we are not be able to remove this information from our databases as we will need it to execute the contract.

And even after our contract has ended, we may be under a legal obligation to hold on to some of this information for a bit longer. For example: under accounting legislation and local police requirements we must keep copies of our invoices which may mention your name or address.

Phone number & E-mail address

This is so we can easily contact you. In principle, we will never contact you unless it is to answer a question, notify you of a change to your reservation or correct information for your booking.

We may also use your e-mail address to send you our newsletter. We do not want to spam you and we understand if you would rather not receive any newsletters. If that is the case, you can always let us know or you can unsubscribe from our mailing list using the link you can find at the bottom of each newsletter.

In addition, we may use a custom audience tool from third party advertisers Facebook and Google Adwords that allows us to personalize our ads based on your shopping experience with us. These tools work by converting your e-mail address to a unique number that third party advertiser can match to unique numbers from e-mail addresses of its users. Payment information

Once we enter your card information into our systems, we are no longer able to see the full card number. We only use this information to complete payments or process refunds. After completing a payment or processing a refund we keep a printout receipt of the transaction, where only the last four digits of your credit card are visible.

IP-address, Preferences & Data provided in the portal

If you enter into an agreement with us, you will get access to a portal. If you make use of the portal, we may collect other personal data such as your IP-address or your browsing preferences (for example: language preference), as well as other personal data that you might provide us with through the portal. This information will help us tailor our services to you.

Data Collected on GrupoPlus Members

Your first and last name & Your address 

We collect your first and last name as part of your signup to GrupoPlus. This is necessary for us to sign you up to the program. If you use your points earned for a stay at our hotel as part of our check-in process we ask for an identity document to verify the guest who is seeking to check-in. Agency Name & City

We ask for the name of your travel agency and city as part of your signup to GrupoPlus. This information is part of our market research initiatives and helps us understand the distribution of the travel agents we work with. If you no longer want us to keep this information, you can always let us know.

Personal & Professional Email & Phone number

This is so we can easily contact you. In principle, we will never contact you unless it is to answer a question, notify you of a change to your membership or to share details on upcoming promotions.

We may also use your e-mail address to send you our GrupoPlus newsletter. This newsletter is exclusive to our GrupoPlus members and shares information on the status of your account, as well as on upcoming promotions and offers to GrupoPlus members. We do not want to spam you and we understand if you would rather not receive any newsletters. If that is the case, you can always let us know or you can unsubscribe from our mailing list using the link you can find at the bottom of each newsletter.

How do we protect your personal data?

You can rest assured: we take measures to ensure that your personal data is kept personal!
We work hard to protect your personal data against unauthorized access or disclosure. In order to do so, we take organizational measures ensuring that access to your data is restricted to those employees or agent who need to have access to it in order to help us process it. We are a tech company, so it won’t surprise you we also take a whole range of technical measures to protect your data. Technical measures include, for example encrypting any personal information (in transit and at rest), user access management and penetration testing. Do we share your data with others?

We will never sell your personal data to another party! We do use the services of the following external data processors :

  • Hotelogix (Property Management System)
  • Mailchimp (newsletters)
  • Hubspot (Customer Relationship Management)
  • A2 Hosting (infrastructure and web hosting)

We have entered into a data processing agreement with each of these external data processors which obliges them to only process your personal data based on our instructions and in compliance with this privacy policy. These data processors will also have to take sufficient precautions to prevent the loss of your data. All of these external data processors are based in the United States and have certified their compliance with the EU-US Privacy Shield Framework, which means they will respect comparable data protection standards as those that apply in Europe.

You should know that in the following exceptional circumstances your data could also be shared with others:

  • If we are under a legal obligation to share data with the authorities or if we have to share data to comply with an enforceable government request, we don’t have much of a choice and we will share the data the authorities ask for, which may include yours.
  • If another company decides to buy the shares of our company or decides to buy the website elhotelimperial.es from us, we will of course have to transfer your data to that company. That company will then take over all obligations under this privacy policy.
